GROUP RATES are available. A minimum of four homes must be rented with a total of 8 combined nights to be eligible for the group rate. Our groups are typically accommodated in deluxe accommodations.
HOLIDAY GROUP RESERVATIONS are not eligible for group rates. The full cash rate will be charged for reservations over Memorial Day, Fourth of July, Labor Day, and Arts and Crafts weekends. Consider booking your group gathering just before or after these special weekends to allow your guests the option of arriving early or staying longer to enjoy the festivities, but book your space early . . . these special dates sell out far in advance!
GROUP BILLING may be handled in several ways:
- Individual Billing:We will place a tentative hold on homes for your group and will allow your group members a "window of opportunity" to guarantee their own individual home. A "cutoff date" will be established, by which these homes must either be "guaranteed" or they will be released for sale to the general public. The "Cutoff Date" will depend on how far in advance the group is being booked and on how busy we expect to be on the dates reserved. To guarantee a home under a group reservation, we require a credit card or cash advance deposit equal to 1 night’s rental. As each individual reservation is made with a credit card or cash advance deposit to guarantee, we will respond by sending a reservation confirmation.
- Central Billing:When all accommodation charges and other services being billed through Vacation Rentals are being paid by a single Group Contact, an advance deposit equal to 1 night’s rental for each home reserved is due when the homes are blocked. The Group Contact will provide a rooming list at least two weeks prior to arrival to allow Vacation Rentals to assign homes, and the Group Contact will pay the anticipated balance due prior to arrival of the first group members.
- Direct Billing:Companies using Vacation Rentals’ accommodations who have a D&B Rating may qualify for direct billing of all charges upon approval by Vacation Rentals of our Credit Application Form. In the event that credit is extended, advance deposit requirements may be waived or reduced on a case-by-case basis. Groups receiving direct billing privileges are responsible for the same guarantee requirements as groups on Central Billing (above), and must commit to payment of guarantees on homes that are not used nor released and re-rented. GROUP CANCELLATIONSAt Vacation Rentals, we understand that plans sometimes must be changed and that those changes are occasionally beyond the control of the Group Contact. Our cancellation policy is intended to allow groups as much flexibility as possible, without being unfair to the owners of our beautiful homes. Our owners have a right to expect us to avoid holding their home off the market for a group on a particular date, only to lose the opportunity to rent the home to someone else. Accordingly our group cancellation policy is as follows:
GROUP CANCELLATIONS:
- Group Cancellations, More Than 30 Days Prior To Scheduled Arrival: Group will receive a complete refund of all deposits made. (Handling fees are not refundable.) Refund of cash deposits or check payments will be made by check, written within 2 weeks of the date of cancellation. Deposits that have been made by credit card will be refunded by issuing a credit to the same credit card account.
- Group Cancellations, 30 Days Or Less From Scheduled Arrival: Group block will be released for sale immediately upon receipt of notice of cancellation, and group will not be responsible for any charges for nights reserved beyond the first night. (Handling fees are not refundable.) Vacation Rentals will make every effort to re-rent these homes for the first night and will refund the first night’s deposit on all group homes that are successfully re-rented. Group deposits on homes that cannot be re-rented for the first night of the scheduled group stay will be forfeited.
- Reduction In Group Block: If the group does not cancel but reduces the number of homes it reserved, the following conditions apply (Handling fees are not refundable.) If the block is reduced below the required number of home nights to receive group rates (a minimum of 4 homes for a combined total of at least 10 nights), group rates will not apply. Instead, the lowest available individual rate for the type of home occupied, along with any applicable extra person charges, will apply. If deposits have already been received, no additional deposits will be required.
- Homes being released will be un-blocked immediately upon receipt of notice, and group will not be responsible for any charges for nights reserved beyond the first night. Vacation Rentals will make every effort to re-rent these homes for the first night and will refund the first night’s deposit on all group homes that are successfully re-rented. Group deposits on homes that cannot be re-rented for the first night of the scheduled group stay will be forfeited.
